The special meeting of the Danbury Township Board of Trustees held August 4, 2011 at 6:30 p.m. was called to order by President Ms. Dianne M. Rozak, with Ms. Rozak, Mr. Charles B. Scott and Mr. David M. Hirt. Also, present Fiscal Officer -Shelley Seamon.

Visitors in attendance were, Scott Kerik of Bodner & Kerik, Architects, John Englebeck, and Matt Seamon.

The purpose of the meeting was to meet with Scott Kerik of Bodner & Kerik, Architects to discuss the renovation project for the township hall.

Mr. Kerik explained the preliminary drawings, which approached the project in phases. The breakdown for each improvement was as follows:
1. Entrance Improvements for Handicap Access $ 18,500.00
2. Install Handicapped Access Unisex Restroom $ 25,000.00
3. Floor Structure Reinforcement at Hall Floor $ 20,000.00
4. General Renovation of Administrative Area (West) $169,000.00
5. General Renovation of Hall Area (East) $142,000.00
6. General Renovation of Garage for Records Storage $ 45,000.00
7. Replace Second Floor Windows $ 55,000.00
8. Insulate Attic Floor $ 18,000.00
9. Repoint Exterior Stone Masonry $ 30,000.00

Mr. Kerik explained that the scope of work for the general renovation areas included installation of wall and ceiling insulation with new windows being installed on the first floor only.

The trustees and Mr. Kerik discussed the following items:
1. Renovation of the entrance had to be ADA accessible by the November election.
2. Prevailing wages and Public Bidding Requirements
3. What phases would be included in the project?
4. What amount of funds had been appropriated for the renovation?

The trustees and Mr. Kerik discussed two options regarding a main entrance: to redo the archway making it ADA compliant or move the main entrance to the present zoning office entrance. After reviewing both entrances it was determined that renovating, the archway entrance was more cost effective than moving the main entrance. Mr. Kerik explained what modifications would be done to make the current ramp ADA accessible, in which new pavement would be added to eliminate the step down, which would create a flat area for handicap parking.

Ms. Seamon informed the trustees that $300,000.00 had been appropriated for the township hall renovation and architectural fees for $25,000.00. Ms. Seamon noted that the architectural fees were based on a $120,000.00 construction budget and Bodner & Kerik would receive an additional 10% in fees for construction costs over the $120,000.00 budget.


After review each of the phases, the trustees asked Mr. Kerik to prepare bid quotations and specifications to address the entrance improvement in order that the entrance will be ADA compliant by the November 8, 2011 general election. The trustees discussed that the ADA improvements were mandatory and this would be considered a separate project from the other renovations.

A brief discussion was held regarding doing phases two through four and buying the additional first floor windows needed since phase five included the cost of these windows for the east side of the building. No decisions were made regarding this matter.

Ms. Rozak moved and Mr. Scott seconded to adjourn at 7:30 p.m., being there was no further business. Vote: Mr. Hirt-yes, Mr. Scott-yes, Ms. Rozak-yes. Motion carried.
